Document management enables an organisation to scan or import documents into the system, link them to the appropriate patient, and workflow them to relevant teams within the practice. This ensures that clinical coding, annotations, and necessary details are accurately recorded by the appropriate team at the right stage of the process, before the document is filed into the patient’s record.
Once the document is matched to the patient, access to their record is immediately available, allowing clinicians to review and make any necessary updates in real-time. Creating a more efficient, streamlined workflow and enhances clinical safety throughout the process.
Scanning Rules
- Configurable scanning rules allow you to speed up the scanning process, by automating aspects of the Document Management.
- Suggest the relevant SNOMED code based on the document text, streamlining the process and saving time.
- These same rules can be applied to the document types creating an organised and structured medical record.

OCR
- Optical Character Recognition (OCR) ‘reads’ scanned and imported documents and automatically completes relevant fields in SystmOne.
- The OCR matches to the correct patient, adds the date of the letter, the document sender, and recipient.
- Defining document recipients means that the OCR will only attempt to match documents to that staff list.

Document Workflow
- SystmOne’s seamless Document Management workflow enabled practices to seamlessly route documents to the appropriate individual or team.
- The workflow ensures that documents are seen by the appropriate team members in the correct sequence, enhancing efficiency and communication.
- Need to annotate a document? You can add notes, annotate a document, and redact information as needed.
- Additionally, SNOMED codes can be added directly to the patient’s record, ensuring accurate and comprehensive documentation.

Document Library
- The Document Library allows you to store scanned and imported documents within the system.
- This feature can be used to store documents like practice processes, policies, or patient information leaflets.
- Policies or patient information leaflets – click through or print them as needed, wherever you are in SystmOne.
